Data protection for our customers

Pelican Self Storage Group (“Pelican Self Storage”, “we” or “our”) may from time to time retain information about individuals and use that information for various purposes. This Privacy Policy is intended for all individuals who use Pelican Self Storage's products and services, including, for example, our customers. Information about individuals is called Personal Data.

What personal data does Pelican Self Storage store and use?
We may receive personal data directly from individuals or from other sources. Personal data can be broadly divided into the following categories:

- identification information, such as name, address, bank details, personal identification number;
- contact information, such as email address, telephone number;
- product and service information, such as information about products or services purchased or otherwise used by a particular customer;
- communications information, such as requests made by our customers; and
- segment information, such as the purpose for which a particular customer requires self-service storage.

Why do we store and use personal data?
We use certain basic personal information to provide products and services to individuals. We may also use personal information when we market our products in order to deliver marketing messages to our customers.

On what basis do we store and use personal data?
We may use personal data about our customers on the basis of a contract. For example, if a customer purchases a particular product or service from Pelican Self Storage, we may use that customer's contact information to process the payment the customer made or to deliver the product the customer purchased. In certain cases, we will obtain the customer's consent before we process personal information about the customer. You may withdraw your consent for us to collect, use, disclose or otherwise process personal information about you at any time. We may occasionally use personal information about our customers to comply with our legal obligations to Pelican Self Store or where the legitimate interests of Pelican Self Store require Pelican Self Store to use personal information for a specified purpose.

What entities other than Pelican Self Storage may process personal data?
We may obtain IT, logistics or other administrative support services from third parties (for example, those providing distribution services or software/IT support services). These parties may process personal data about you to the extent necessary for them to provide those services.

We may disclose certain personal data to transport/logistics companies for delivery purposes. We may occasionally disclose personal information to other Pelican Self Storage group companies if required to comply with applicable legal requirements or to respond to requests from public authorities.

Personal data may be disclosed to entities located outside the European Economic Area (EEA). In such cases, we will ensure that the entity in question provides a level of protection for the personal data it processes that is equivalent to the level of protection set out in EU data protection legislation (such as the EU General Data Protection Regulation).

How long do we keep personal data?
Pelican Self Storage will retain personal data or other parties will retain personal data on our behalf only for as long as necessary for the performance of our obligations and, in particular, only for as long as necessary for the purposes for which the personal data was collected. We will delete personal data from our records or anonymise them appropriately when we no longer need them. Personal data disclosed in connection with contracts, communications and business correspondence may be subject to legal retention obligations which may require the data to be kept for up to ten years. Other personal data relating to our individual customers will, in principle, be destroyed no more than two years after the last correspondence or other communication with that customer. For security/safety reasons, back-up copies of personal data may be kept for longer periods, but in such cases the right to process them is particularly strictly limited.

Camera surveillance
Please note that if our business is under camera surveillance, you may be caught on CCTV and we will retain footage of you. We only use CCTV to ensure the safety of our customers and to prevent and detect crime. You can contact us at the address below if you need more information about our CCTV.

What rights do individuals have?
You can always withdraw your consent for us to retain or otherwise use personal data about you. Individuals also have the following rights:

i. Right to request access to personal data / Right of access: Individuals have the right to request to know whether we hold personal data about them and what personal data we hold about them. We must also answer questions such as what purposes we use personal data for, and provide more detailed information about what personal data we hold and who we allow to process that personal data. However, the above right is not absolute and the legitimate interests of other individuals may limit the right of access.

ii. Right to rectification of inaccurate personal data: We must correct any errors in the personal data relating to a particular person or complete incomplete personal data at that person's request.

iii. The right to erasure of personal data (right to be forgotten): In certain cases, we may need to delete personal data relating to a particular person if that person so requests.

iv. Right to restriction of processing of personal data: In certain cases, we must restrict the use of personal information about a particular individual if that individual so requests. In such cases, we may only use personal data about that person for certain limited purposes set out in applicable law.

v. Right to transfer of personal data: in certain circumstances, individuals may have the right to receive personal data we process about them in a structured, commonly used and machine-readable format, and may also have the right to transfer that personal data to another party without our being able to prevent the transfer.

vi. The right to object to the processing of personal data: Individuals have the right to object to the use of personal data concerning them in certain circumstances. We may need to stop using personal data on the basis of such a request, for example, possibly where we use personal data for marketing and profiling purposes.

Updating this Privacy Policy
We reserve the right to change this Privacy Policy from time to time. We will notify you of any changes we make to this Privacy Policy by uploading the latest version of the Privacy Policy to our website.
